How to Send & Sign Invoices in MoveRight

After the move is complete, generate the final invoice in MoveRight, apply any deposits, and send it to the customer for digital signature and payment.

The invoice is the final step in every job. MoveRight generates invoices from the completed job record, automatically applies deposits, and sends a payment-ready document to the customer.

When to Create the Invoice

Create the invoice as soon as the move is complete — ideally while your crew is still on-site. Customers are most likely to pay quickly when the move is fresh and they’re satisfied.

Steps

1. Open the Job Record

From your dispatch calendar or opportunities list, open the completed job.

2. Click “Create Invoice”

In the job sidebar, click Create Invoice. MoveRight pre-fills the invoice with:

  • All line items from the signed estimate
  • Any additional charges your crew noted on the job (extra time, additional items)
  • The deposit amount applied as a credit

3. Review and Adjust

Compare the invoice to the actual job:

  • More time than estimated? Add the overage as an additional labor line item
  • Additional items added on-site? Add them
  • Job completed faster? You can reduce the time — this builds customer trust
  • Any charges to waive? Mark them as waived with a note

Important: Any changes from the signed estimate should be documented in the job notes. If you’re adding a significant charge, call the customer before sending the invoice — don’t surprise them with costs they weren’t expecting.

4. Apply the Deposit

The recorded deposit appears automatically in the Credits section. Confirm the amount is correct.

Final balance due = Invoice total − Deposit paid

5. Send the Invoice

Click Send Invoice. MoveRight sends the customer:

  • An SMS with a link to their invoice and payment button
  • An email with the full invoice details

The customer can pay directly from the link using a credit card, or you can mark payment as received if they pay cash or e-transfer.

6. Customer Signs and Pays

From the invoice link, the customer:

  1. Reviews the final charges
  2. Signs with their e-signature
  3. Pays using the integrated payment button

After payment, they receive a receipt via SMS and email.

7. Mark as Paid

If the customer pays by cash, check, or e-transfer outside the platform, mark the invoice as paid manually in MoveRight. This updates your revenue reporting.

MoveRight sends automatic payment reminders at 3 days and 7 days overdue if the invoice remains unpaid.
