How to Record a Deposit for an Estimate in MoveRight

Collect and record deposit payments within MoveRight to secure a job booking — including partial deposits, payment methods, and how the deposit applies to the final invoice.

Collecting a deposit after estimate signing secures the booking and reduces no-shows. MoveRight lets you record deposit payments and automatically applies them to the final invoice.

Why Deposits Matter

Moves without deposits have significantly higher no-show and last-minute cancellation rates. A deposit creates a financial commitment from the customer and a scheduling commitment from you. Most operators collect 10–20% of the estimated job value as a deposit.

Recording a Deposit

1. Open the Opportunity

Navigate to the opportunity. After the estimate is signed, the stage should be Signed / Deposit Required. Click the estimate to open it.

2. Click “Record Deposit”

In the estimate view, click Record Deposit in the right sidebar.

3. Enter the Deposit Amount

Enter the deposit amount. Common practices:

  • Fixed amount: $100–$250 regardless of job size
  • Percentage: 10–20% of the estimate total
  • Local move: $100–$150
  • Long-distance: $200–$500 or 15–20%

4. Select the Payment Method

Choose how the deposit was collected:

  • Credit card (via Stripe integration — customer enters card details through a secure link)
  • E-transfer / Interac (Canada)
  • Cash (mark as collected manually)
  • Check (mark as received, post-date if needed)

For credit card payments, MoveRight sends the customer a secure payment link via SMS. They complete the payment on their phone — no need to share card details over the phone.

5. Add a Note (Optional)

If there’s anything specific about the payment — “customer will bring cash on move day for remainder” or “check mailed, expected Friday” — add it here.

6. Save

Click Record Deposit. The deposit amount is saved to the opportunity and will automatically be deducted from the final invoice balance.

The customer receives an SMS confirmation: “Your deposit of $[amount] has been received. You’re confirmed for [move date].”

Deposit Applied to Invoice

When you create the final invoice after the move, MoveRight automatically pre-fills the “Deposit Applied” field with the recorded amount. The customer’s balance due reflects the deposit credit.

Refund Policies

MoveRight stores deposit records with timestamps. If your cancellation policy allows for partial or full refunds within a certain window, note your refund terms in the estimate cover message so there’s a documented expectation from the start.
