How to Create an Estimate in MoveRight

Build a professional, itemized moving estimate in MoveRight — including the AI Pricing Engine for Business plan users — and send it to the customer for review.

MoveRight’s estimate builder lets you create professional, itemized quotes that customers can view, accept, and sign digitally. This guide covers the full estimate creation workflow.

Before You Start

Estimates are created from within an opportunity. Make sure the opportunity exists and has the customer’s contact information and move notes filled in.

Steps

1. Open the Opportunity

Navigate to the customer’s opportunity. In the right sidebar, click Create Estimate.

2. Review the AI Pricing Recommendations (Business Plan)

If you’re on the Business plan or higher, the AI Pricing Engine will have analyzed the notes in the opportunity and will display:

  • Recommended crew size
  • Recommended truck size
  • Estimated job duration
  • Any edge case flags (specialty items, access issues, stair surcharges)

Review these recommendations. You can accept, adjust, or override any of them.

3. Build the Line Items

Click Add Line Item to begin building the estimate. Common line items include:

ItemNotes
Base labor rateHourly rate × estimated hours
Truck feeFlat rate or mileage-based
Stair/elevator surchargePer flight, per item
Specialty item (piano)Flat fee
Packing servicePer room or per item
Packing materialsBoxes, tape, wrap
Long carry feeIf parking is > 75 feet from door
Fuel surchargePercentage of base
Storage (first month)If applicable

Tip: If you’re on Business plan, the AI will suggest upsell line items based on the job notes. Review these prompts before finalizing the estimate.

4. Set the Estimate Validity

Use the Valid Until field to set an expiry date for the quote. Most operators use 7 days. Urgency helps conversion.

5. Add a Cover Message

In the Customer Message field, write a brief, personalized note. Something like:

“Hi [Name], thanks for reaching out! Based on our conversation, here’s your estimate for your move from [City] to [City]. Let me know if you have any questions.”

This message appears at the top of the estimate the customer sees.

6. Preview and Send

Click Preview to see exactly what the customer will receive. When you’re satisfied, click Send Estimate.

MoveRight sends the customer:

  • An SMS with a link to their estimate
  • An email with the estimate details and the same link

7. Track the Status

The estimate moves through these statuses:

  • Sent — delivered to customer
  • Viewed — customer opened the estimate link
  • Accepted / Signed — customer e-signed (see How to Sign an Estimate)
  • Expired — validity window passed without acceptance
  • Declined — customer indicated they won’t be moving forward

You’ll see a notification when the customer views or signs the estimate.
